Virtual Meeting FAQs

What do I need to login?

Registered attendees will login using the email associated with their registration and their registration confirmation number.

 

Where do I find my login details?  

All registered attendees were sent a confirmation email from iadrregistration@spargoinc.com that includes a confirmation number. This number is your registration ID.  

All emails about the 2021 IADR/AADR/CADR General Session, sent to the email address associated with your registration from memberservice@iadr.org, includes your registration ID.   

 

Can I access just one session without registering for the General Session? 

No. Full registration for the General Session is required for access to the IADR Virtual Platform.

 

How do I gain access to the IADR Academy, AADR Faculty Development Workshop, or a Focused Learning Session? 

The IADR Academy, AADR Faculty Development Workshop and all Focused Learning Sessions are ticketed session, requiring purchase in addition to your General Session registration.  

If you completed ticket purchase and are logged in using the email associated with your registration and confirmation number, you will have access to these sessions automatically. I 

If you have not purchased tickets, but are interested in a topic, you can do so for sessions that are not sold out by visiting the IADR registration site. Once you have completed the purchase, you will need to log out of the Virtual Experience Platform and log back in for the system to refresh.  

If you registered and access is still not allowed, contact support in the lower right corner.  

 

Will IADR send me a link to my session or presentation? 

No. Presenters, Chairs and attendees will need to visit the schedule page and use the search function on the right side to find their presentation. in the search box you can enter the session title, presentation title, presenter first name or presenter last name, then click "see results from all days button" the schedule for their session. The search will not allow entering details from multiple of these fields.

 

 Will speakers see the other attendees in sessions? 

All sessions and meetings take place using Zoom meetings. Presenters and non-presenting attendees will all have the ability to turn on and off their cameras. Attendees may be unable to unmute during presentations but will be allowed to unmute and ask verbal questions during discussion times. Discussion periods will allow attendees to interact with the speaker by text chat and video/voice-over Zoom.  

 

Will I be recorded if attending sessions? 

Turning on your camera within a session as an attendee means you will be visible to all other speakers and attendees within the session. While not required, IADR encourages attendees who are comfortable appearing on screen to turn on their camera for the benefit of speaker engagement. Attendees with cameras on may be captured in the recording for on-demand viewing, particularly if they speak during the session. By turning on your camera, you understand that the session is being recorded and IADR is unable to remove your image.  

 

Can I attend a particular presentation and not the full session? 

You can join a live session in Zoom and continue browsing the program if you want to change to a different session. If you are looking to join a session just for a particular presentation, you can find the list of presentations and their duration in the session details page to calculate the time for a particular presentation.

 

I missed the live presentation time. How do I ask questions?  

The Virtual Experience allows the attendees and presenters to have even more time to connect and engage in discussion before, during and after the live sessions. You can engage with symposia speakers on the session discussion feed in the schedule. Attendees can engage with abstract presenters in the Abstract Gallery discussion feed. You can follow a discussion thread (by clicking the corresponding star) within the IADR General Session Community to get alerts when there are new comments.  

 

I am experiencing technical difficulties and I present in just a few minutes. What do I do? 

Symposia speakers only: If you are a symposia speaker and uploaded your presentation by the July 7 deadline, IADR Global Headquarters (GHQ) has a backup copy.

Contact IADR via the support chat and let us know your internet is out and confirming your session. IADR will be able to pull up your slides and run them and provide you a phone number to call in and narrate your presentation. Let IADR GHQ know of internet or connection issues as soon as possible before your presentations. 

 

SESSION  CHAIR FAQS

I am an organizer and/or chair for a session. What actions do I need to take to start the session? 

Chairs should start the Zoom no earlier than 15 minutes before the session start time.  

When the Zoom starts, presenters will be able to join as co-hosts, bypassing the waiting room. 

The organizer should pause the recording of the session when they join.  

This is a time to complete a final test all the presenters’ equipment ensuring their video, sound and screen share are functioning properly.  

When testing is complete open the participants' window and click the "Admit All" button to allow people from the waiting room into the session.  

Click the "..." in the participants' window and uncheck "Enable Waiting Room." When the session is ready to start, press the play button to start back up the recording. 

 

I am a poster session chair. A presenter did not show-up for their live presentation time. What should I do? 

If a poster presenter does not attend the live session to present their abstract, make an announcement referring the attendees in the session to view the PDF in the IADR Abstract Gallery, where they can interact with the PDF and, if provided, audio or video uploaded by the presenter. Pause the session for the remainder of the 3 minutes. 

 

How should I conduct the discussion period at the end of the poster session? 

At the conclusion of the final presentation, indicate the final presentation has concluded and the discussion period is now open. Questions may be directed to any of the poster presenters. Attendees may submit questions via the Q&A function to be read aloud by the chair or may raise their hand to be recognized by the chair. Attendees may also use the chat function to get text responses from the presenters.  

 

I am an oral session chair. A presenter did not show-up for their live presentation time. What should I do?  

If an oral session presenter does not attend the live session to present their abstract, make an announcement referring the attendees in the session to view the presentation preview uploaded to the IADR Abstract Gallery. Attendees will be able to interact with the uploaded PDF and, if provided, audio or video uploaded by the presenter. Pause the session for the remainder of the presentation time, do not progress early to the next presentation.  

You can use this time to remind attendees to enter questions they may have in the chat box or Q&A. 

 

How should I conduct the discussion period for each individual presenter? 

When the 10 minutes for presentation concludes, ask the attendees if they have questions to use the Raise Hand function to be recognized by the chair. Review the Q&A to see if any questions have come that need to be read aloud. Each presentation has 4 minutes for Q&A, which should allow for at least 2 questions.  

 

The oral session I am assigned has additional discussion time at the end. How should I conduct the discussion period at the end of the oral session?
